Penalty mail allotments to be distributed by Oct. 1

Penalty mail allocations will be made to county extension centers by Oct. 1, says Callie Glascock, assistant director of Administrative Management.

"The allocations were based on the current-year allotment, which covers approximately 73 percent of actual usage," Glascock says.

Breakdown of the allotment for Oct. 1, 2003, through Sept. 30, 2004:

Each county will receive a letter indicating the amount of penalty mail allotment, along with instruction on recording the transactions in Quickbooks. To save administrative costs, Administrative Management will deduct LAN connectivity charges from the mail allotment.

Allotments may be used for mailing supplies, commercial postage meter lease or purchase, postage stamps, prepaid postage for a commercial meter, costs associated with producing the document to be mailed, and bulk mail postage and permits.

After Oct. 1, penalty mail postage, envelopes and supplies may not be used unless the official use/penalty for private use statement is covered up and the return address is replaced with the address from which the item is mailed.
