Check list for county web site conversions

Step 1 -- Kate does these

  1. Copy entire county site to working directory --(ex: callaway to callaway2)
  2. Copy new template files into the working directory
  3. Update the county footer file by adding the "Find an Office" link/graphic, return to county main page link  and any other elements necessary to bring it into compliance (contact name, e-mail, date)
  4. Basic house-keeping and re-organization -- images to images folder, set up old-pages and templates folders, correct access permissions and add webteam login.

Step 2 -- content conversion (cut & paste) -- Austin, Haiying, Cindy, Diana or Kate

NOTE: all the new page templates end in .shtml -- sort the file list by type to find them easily

  1. Customize new main page for the current county, changing county name as necessary. Transfer featured news/links from current main page if applicable. Add office address and hours, e-mail link in footer.  
  2. Compare content and content organization of current pages to new templates and find similarities and differences.
  3. Work with the pages that require the least re-organizing first
     For each page, open the old page (such as Council) and it's new template equivalent then:
            a. transfer content into the template
            b. customize county name every where it occurs on the page
            c. customize links and includes to be correct for that county
            d. adjust heading fonts and any transferred images to be consistent with the template 
            e.  move the old page to "old-pages" folder (do not delete it immediately)
    Caution -- please check links to see if they work before transferring. Please correct links that point to the old UO/E topic section pages.
  4. Customize templates for pages that have no existing parallel (ex - if they previously had no calendar page) and provide as much content as possible for those pages.  Maps for "Location" page can come from mapping software on Expedia or Mapquest if the office has a street address. If it's just "County Courthouse" or a PO Box, they will have to make their own map. 
  5. Look at other pages in the existing web site and evaluate how they should fit into the new structure/organization. (Ie linked from a category page, etc.) Decide if they should be modified or left as is. If they look terrible and would benefit from being switched to the new format, use the templates in the templates folder and paste content in, then move the old page to the old-pages folder and "save-as" the new file so it has the same file name as the old one so no links are broken.  If content fits into new templates, but organization is different, move content elements to the new pages where they will fit best.  Do not omit anything without a justifiable reason.

    Evaluate programmatic pages, such as for 4-H, for form and function. If they are well organized, meet minimum requirements of identification and do not have substantial design problems, leave them alone, or do the minimum needed to bring them into compliance, such as adding the horizontal logo at the top of the page and the footer to the bottom.  If they do have substantial problems with organization and design, and would be improved by converting them to the new format, then do so.
  6. Organize files into folders if needed -- images in to images, 4-H pages into a 4h folder. Use the "Hyperlinks" view to check old files to see if they are currently being used. If not, move them to the "old-pages" folder for later deletion. Go through the images folder and move out all images associated with the old templates (front page buttons etc) that will no longer be used, again using the Hyperlinks View.
  7. In Folders view, check page titles to see that they all have the right county name. Change any that do not right there in the Folders View.
  8. Check entire site for broken links.

PLEASE -- remove local copies of the UO/E logo. Just delete the logo file, then go to the broken hyperlinks report and change the link to point to the main copy of either the blue or black logo:

Phase 3
  1. Regional Liason informs CPDs that pages have been converted. 
  2. CPD reviews pages and requests any necessary changes. Upon approval, liason informs Kate to switch the site to the normal folder name, making the new pages active.

Phase 4

Kate switches working folder to active and moves original files to backup folder. This will later be archived.
