What does the import file do?

The History file ‘6IUserList.uhl’ tells TaxWise what is available as an answer in a certain field. In the case of the Preparer’s Use Fields, only certain answers can be inserted. For instance, the ethnicity question (#1 on the back of the intake sheet) can only have 7 answers, and six of those answers either have to be a pair of letters indicating your ethnicity or a ‘9’ meaning no response. This file restricts the possible answers to make the job of filling out the Preparer’s Use Fields easier.

Why make these fields required?

By making the Preparer’s Use Fields required, data is collected for every client that fills out a return. This eliminates the need for another survey sheet that must be tracked and sent back to campus. By integrating the survey data with the TaxWise file, it’s easy to collect and process the data.

There are two ways to make the fields required:
  1. Install a file to make the defaults required
  2. Manually make the defaults required
Both of these procedures are covered later in the instructions

To copy a user history list:

  1. Download the file 6IUserList.uhl from http://web.missouri.edu/~umcexthes/6IUserList.uhl. Save it in a place you’ll you can easily get to.
  2. Make sure TaxWise is closed.
  3. Open the “USERS” folder within the “UTS06” folder on the C:/ drive.
  4. You should see all the users you’ve created. Admin, Training, and Guest should also be there.
  5. Find where you downloaded the 6IUserList.uhl file. Select the file and right click. Choose ‘copy’
  6. Now, back in the “USERS” folder, one at a time, select each folder, right click, and choose ‘paste’. This will put a copy of the 6IUserList.uhl into each folder.
  7. When you are finished pasting, open TaxWise and log in as Admin.
  8. Go to “Tools” then “Utilities\Setup Options”. The TaxWise Utility should appear. Again, choose “Setup” then ”Setup Options” and on the “General” under item #4, uncheck the first and third box checkbox and check the second box (Display User-Defined and Auto-Populated History lists). The only checkbox with a check should be the second box.
  9. Finally, Click “Next” until it becomes “Finish”. Click “Finish”.
  10. Congrats!

To make Preparer fields required manually:

  1. Start TaxWise.
  2. Log into TaxWise as Admin. Do this by choosing Admin in the dropdown menu that appears under TaxWise Login. Do not enter a password, unless you have set one for the Admin.
  3. If a box pops up with the title of ‘Select Package’ click on ‘1040 Individual’ and ‘Ok’.
  4. Along the top menu of choices (File, Edit, Letter View, etc…) choose ‘Tools…’ and then click on ‘Edit Tax Forms Defaults’.
  5. When the box pops up, choose ‘1040 Individual’.
  6. A warning box will pop up. Choose ‘Ok’.
  7. TaxWise will then place you in the Main Information Sheet.
  8. Scroll to the bottom of the Main Information Sheet to the Preparer’s Use Fields.
  9. Click in field #1 and press ‘F3’ (F3 is located at the top of your keyboard in the first group of ‘F#’ keys.)
  10. Click in field #2 and press ‘F3’. Continue this process in each of the seven individual Preparer’s Use fields.
  11. Once you have completed this process, all the fields in the Preparer’s Use section should appear red.
  12. After you have done this, click on ‘File’ along the top menu of choices and choose ‘Close Return’.
  13. Congratulations! You have just made the Preparer’s Use Fields required.
