August 25, 2004 ESP Board Meeting

Minutes of the
Epsilon Sigma Phi Board Meeting
August 25, 2004

Call to Order: President-elect Jo Turner called the Centra meeting to order on August 25, 2004 at 10:00 a.m.

In attendance: Barb Casady, Bob Schultheis, Pat Snodgrass, Jo Turner, Nancy Flood, Ina Linville, Wilma Jean Lower

Minutes – Minutes from the June 7, 2004 Executive Committee Centra conference call were shared prior to the meeting. Minutes were approved as corrected.

Treasurers Report – Bob shared the treasurer’s report. There is currently a total of $3,513.47 ($706.33 checking; $2,807.14 Money Market) operating funds available. Dues collected at the ESP annual conference booth will be held until next year to forward to national.

Committee Reports

Awards Committee – Rebecca has a conflict this morning. She has sent out an e‑mail about awards and a posting for our website. Deadline has been moved to Sept. 17. Jo suggested Rebecca put a note in Weekly News in the near future.

Loan and Fellowship Committee – Pat reported that there have been few applications in the past months, but she expects that to increase this fall. We need to promote this with our membership.

Membership – Eileen was not present and had no report. Jo noted she will be working on last meeting’s assignment to present fact sheets at regional staff conferences. She needs contacts for each region. Pat recommended that it be completed by Sept. staff meetings. Wilma Jean suggested that membership forms and recruiting notes also be taken to retiree meetings beginning in September. Bob reported that ESP dues will be collected with UMEA at the Galaxy conference. Dues must be sent to national by March 1.

Professional Development – Barb reported that Missouri Galaxy will be held Nov. 11 and 12 at Windermere. All professional associations will participate. The committee has not yet met. Barb wanted a recommendation as to when we would like to hold the ESP meeting. Pat suggested that we ask for a time when we could meet with the entire group. She also felt we should hold an initiation. Wilma Jean suggested a reception and Nancy a professional development experience sponsored by ESP at Galaxy. Ina moved that ESP authorize Barb to spend up to $300 for a reception and speaker at the Galaxy conference. Bob seconded. Approved. Barb would like suggestions for speakers.

Retirement – Jim Ollar was not present to report. He sent a report to Jo. Retiree meetings are scheduled in Sept and Oct around the state. They will be announced in the ESP newsletter.

Memorials and Courtesy – Wilma Jean e-mailed her report. She has received additional names since then – Glen Patton whose funeral is today. Another is Emalyn Turner. The third one is Lois Deneke. Please forward any additional information to her. She wanted to know if we would do a memorial recognition at Galaxy conference. She also wanted to know who keeps a retirees list. Jo will check on this and will request that they notify Wilma Jean when a death occurs.

Nominating – Ina has received commitment from Nancy Flood for president-elect, Cathy Allen for secretary. She seeking additional candidates for the position of annalist from a non-represented region.

Old Business

Summer ESP Event at the State Fair – ESP sponsored a homecoming for active and retired MU Extension faculty at the Missouri State Fair on August 16. Participants gathered at the VIP tent for punch and cookies and fellowship. August 16 was also Farm Family Day and Farm Bureau day. It was originally thought many folks would be headed to the fair on this date and ESP could highlight extension. We hope to continue and expand the event. Any suggestions to promote or improve the event are invited. She estimates expenditures at $45. Board approved expenditures. Jo once again thanked Ina.

National ESP Conference in Molene, Ill. – Sept. 15-18, 2004. David Hill will be our voting delegate. He is looking for an item for the silent auction. Jo and Bev will help.
Board proposal to change the ESP organizational year – Bob reported that this appears to be a by-laws change which requires a membership vote. Jo indicated she was not prepared to address this now and would discuss it further with Bev.

New Business

Missouri Galaxy has already been discussed. The board voted that installation of officers will be held at Galaxy.
