Minutes of the
Epsilon Sigma Phi Board Meeting
June 9, 2004
(Via CentraOne Teleconference)

Call to Order: President Beverly Coberly called the Centra meeting to order on June 9, 2004 at 10:00 a.m.

In attendance: Barb Casady, Bob Schultheis, Wilma Jean Lower, Jo Turner, Nancy Flood, Rebecca Travnichek, Pat Snodgrass, Beverly Coberly.

Minutes – Minutes from the March 31, 2004 Executive Committee Centra conference call were shared prior to the meeting. Jo T. moved the acceptance of the minutes. Barb C. seconded. It passed.

Treasurers Report – Bob shared the treasurer’s report. There is currently a total of $3,249.38 operating funds available. Dues were collected at the ESP annual conference booth. Two new members paid dues, but did not pay the $55 initiation fee. Bob asked the board what we should do. Nancy suggested that the board absorb the extra $10 that must be sent to national and keep this in mind in the future. The board unanimously agreed.

Committee Reports

Awards Committee – Rebecca has been in contact with the committee and they are working to revise the teamwork form to make it more user-friendly. They will create an article for the next newsletter. Her goal is that committee chairs work in the regions and increase the number of applications for awards this year.

Loan and Fellowship Committee – Pat thanked those who are supporting Loan and Fellowship across the state. There is an increase in the number of applications, most recently for NACAA in Orlando, FL. The committee has identified new representatives in the regions and they are promoting. Jo suggested sending information to the association presidents so they could promote this in their newsletters for upcoming national meetings.

Membership – Eileen is moving her office today and did not send a membership report. Bev asked the board to how to move forward when a board member has not paid dues. Jo suggested a gentle reminder from the president and ask if the person wishes to remain on the board.

Professional Development – Barb had heard at annual conference that Missouri Galaxy will be held in fall, but she has received no definitive information as of yet. Nancy said Wendy Brumbaugh is facilitating the plans while Shelly Bush, UMEA president, is on sick leave. Barb will contact Wendy.

Retirement – Jim Ollar was not present to report. He sent a report to Jo. Fall meeting dates are set. Jim has talked with retirees about mentoring new staff. He also discussed the State Fair opportunity. Nancy will do a newsletter article inviting life members to welcome new hires to University of Missouri Extension.

Memorials and Courtesy – Wilma Jean had sent the list of those to be remembered by e-mail. We will conduct the memorial at our next annual membership meeting. Linda Cook at national ESP has requested that we send information re: any deceased life members. Bob reported that he takes care of this as a routine part of the treasurer’s job.

Nominating – In Ina’s absence, Beverly gave her report. Nancy Flood has agreed to serve as president-elect. The committee is working on secretary and annalist. Rebecca asked about the role of annalist --- Barb said officially it is historian and keeper of website; however, Bob Schultheis has been keeping the website. Barb thanked him for his service. Suggestions for officers included Roxanne Miller, David Hill, Mary Baurichter, Bev Maltsberger, and Soneeta Grogan.

Old Business

Annual Conference ESP Booth – Jo Turner deferred to Barb. It was fun, people stopped by and picked up an ESP sticker for their nametag. A few paid dues. ESP gave away four prizes for the 2-22 campaign. David Hill, Georgia Stuart-Simmons, Betty Lorton, and Joe Horner were winners. Bev expressed her appreciation to all who worked. Jo asked for an article for the newsletter about the results of the 2-22 campaign.
Summer ESP Event at the State Fair – Bev reported for Ina. The event will be Monday, Aug. 16, 10:00 – 12:00. Will we need a sound system? Will cake and punch be okay? How should we market it? Jo suggested coffee, lemonade and cookies. We need a feature in the newsletter. Need to promote it to all as a reunion sponsored by ESP. Need nametags. Suggested a 10:30 welcome. Contact Dr. Henderson and others who may be there for State Farm Family Day. Bev will send invitations to those who might participate. Barb asked if 4-H Foundation might also set up a table to welcome retirees. Board encouraged this. Board volunteered to assist Ina in any way needed.
National Conference in Molene, Ill. – Registration information is available at ESP Connection on our website. The meeting will be held Thursday, Sept. 16 – Sunday, Sept. 19. Jo has reserved a van if people want to join in. She will promote via the newsletter. She is looking for someone who might want to drive the van from Columbia. Early bird registration by July 1 is $315. It is $370 by Sept. 1 or $425 on site.

New Business

Priorities from the last board meeting to be acted upon

§ Involve life members as mentors to new staff

§ Recruit new members from University of Missouri Extension

§ Pay greater attention to induction ceremonies and recognitions

Jo and Bev met to discuss these. They are encouraged that the mentors project is already underway. We need to make colleagues aware that they should be members because of their commitment to the Extension profession. The challenge is to determine how to recruit them. Nancy suggested that we set up a table to promote ESP at Missouri Galaxy. We will encourage ESP inclusion with UMEA dues promotion. Jo suggested that we develop an ESP fact sheet and ask that it be read at each regional staff conference. Bob pointed out that there’s a membership recruitment piece on the national website.

Bev complimented the board for the enthusiasm and activity this past year. The meeting adjourned at 11:30 a.m.
