Epsilon Sigma Phi Board Meeting
August 26, 2003
                                     203 Whitten Hall, Columbia, MO


Call to order:
President Ina Linville called the meeting to order at 10:00 a.m.

Present:
Ina Linville, Bev Coberly, Bob Schultheis, Eileen Yager, Wilma Jean Lower, Barb Casady, Bev Coberly, Jim Ollar, Pat Snodgrass, Georgia Stuart-Simmons.

Absent:
Nancy Flood, Rebecca Travnichek.

Minutes
Ina appointed Eileen to serve as secretary in Nancy’s absence.

Treasurer’s Report
Bob reported the balance in the regular checking account is $578.88 and the Commercial Money Market account is $2,327.00 for a total of $2,905.88. There are outstanding deposits of $50 and outstanding checks of $72, as of 7/31/03. Membership stands at 40 active members (up from 37 in June) and 111 life members.

Barb Casady moved to approve the treasurer’s report.  Bev Coberly seconded.  Motion carried.

Committee Reports

Ø      Awards – Rebecca reported that Karma Metzgar, our DSA winner, is registered for Galaxy II in Salt Lake City and will be recognized there.  Lisa Wallace, the 2002 Outstanding Regional Extension Faculty (Female) winner, will not be attending Galaxy.   She also reported that announcements have been sent out for this year’s awards.  Deadline is September 5.  A committee made up of Rhonda Gibler, David Hill, Janet LaFon, Roxanne Miller and Georgia Stuart-Simmons will meet and make selections for the Missouri Galaxy meeting.

Ø Loan and Fellowship – Pat reported that group applications will be considered case by case.  Because Loan and Fellowship is an MU endowment, any changes in the policies and procedures must be taken before the Board of Curators.  Right now, it is restricted to individuals.  She also reported that there have been 8 awards totaling $5500 this year.    Awards have included continuation of degree work, attendance at Galaxy II, etc. As of January 2003, there is $125,939 principal in the fund, with $14,257 in earnings available for awards.

Ø      Membership – Life Members:  We want to be sure that recent retirees have been invited to be life members.  Ina will get the names from Diane Dews, then send them to Jim Ollar.  He will issue the invitations.

New Members:  Ina will get the list of Extension personnel with 3 or more years of service from Diane.  She will sort them by campus and field and forward them to Eileen.  Eileen will send invitations for membership.  Membership contact points for the system and regions are:

Ø      Memorials and Courtesy – Wilma Jean gave an updated list of memorials and asked to be notified when others should be added.

Ø      Professional Improvement  - Barb Casady reported that Missouri Galaxy will be November 18 and 19 at Windermere Conference Center.  Registration fee will be affordable, costing less than $100 for 3 meals and a one-night stay. Information should be out by October 1.

Ø      Retirement – Jim Ollar reported that he had contributed to the newsletter and was willing to send out invitations for life membership. 

Old Business

Ø      Galaxy Conference – It was announced that Galaxy will be September 21-25, 2003 in Salt Lake City.  The Global Relations Committee is sponsoring Building Networks to Internationalize Extension on Tuesday, September 23, 9 to 10:30 a.m.  There will be a reception for First Time Members and Life Members, Sunday, September 21.  See the last newsletter for ESP events at Galaxy.  Wilma Jean asked for help in setting table decorations on Sunday evening before the Gala and Wednesday before the Ruby Luncheon.

Ø     75 ‘n 75 Endowment Campaign – Barb reported that Missouri has 3 contributors to date:  Rebecca Travnichek, Barb Casady, and Pat Buchanan.

Ø      Newsletter – Bev requested that all committee chairs submit material.  The deadline is Sept. 12.

New Business
Nominations and Elections
.  Georgia and Ina had determined that the new President-Elect needs to be from the campus.  Georgia requested help in brainstorming possible candidates.  Per the by‑laws, it was determined that because Bob Schultheis had completed Tom Henderson’s term he would be eligible for a two-year Treasurer’s position.  He agreed to do this. Names were suggested for President-Elect and Georgia and Ina will contact those people to determine their interest in serving.
